YAI Singapore 2026/27
Privacy notice
Draft · version 1.0 to be confirmed
The short version (five sentences anyone can read)
- We collect what we need to run YAI: your name, birthday, school, your parent's email and a few things for Demo Weekend, like food needs.
- We use it to check your age group, send your challenge, organise Demo Weekend and keep you safe.
- Judges see your project, team name and display name, not your contact details.
- We never give your details to sponsors.
- We delete or anonymise most of it within a year after the event, and Player Cards on 30 Apr 2027.
What we collect
Team details; each student's name, display name, date of birth, school and level; parent or guardian and lead adult contacts; accompanying adults; presentation language; dietary and support needs (only what's needed); Demo Weekend RSVP; fee-waiver documents (stored separately); payment status (card details are handled by the payment provider, not us); submissions and process logs; event photos and video. If you opt in: your Player Card details (nickname, avatar, one line about your build, skill points, checkpoints); your referral code and how many friends joined; your choice to be listed in the Ambassador Hall. At Demo Weekend, a voting code that is not linked to your name. If you claim the Reach Bonus: the link to your post and a screenshot of its likes. We don't collect NRIC or passport copies by default. The age calculator runs in your browser and doesn't send or store your date of birth.
Why
Eligibility and age groups; team management; payments and refunds; sending your challenge and resource pack; safety at Demo Weekend (food, pick-up, emergency contacts); judging; certificates and results; event emails about YAI Singapore · Season 26/27; the optional Player Card, YAI Ambassador Programme and Community Choice vote; checking Reach Bonus claims, if you make one; promoting YAI with event photos and video. We never use your details for any partner's marketing, and we won't send you news about other programmes unless you separately agree.
Who agrees for children
A parent or guardian gives consent for every participant, including teens. Singapore's data protection guidance requires this for children under 13; as an education programme, we ask for it for older students too. Optional features each have their own consent, off by default.
Who sees it
The YAI team, on a need-to-know basis (Reach Bonus links and screenshots only by the staff who check them, never by screening reviewers or judges); judges and screening reviewers (projects, team and display names only; screening reviewers see team codes rather than names); service providers for forms, storage, card images and payments, some of which store data outside Singapore under contract protections. Ambassadors see how many friends joined, never who. Never sponsors or partners.
Fee-waiver data
Seen only by two named reviewers; never shared with judges or partners; after review we keep only whether a waiver was given.
What's public
Display names, team names, project names, descriptions and demos, and event photos and video. Player Cards only if you choose to share them (share pages aren't searchable). Never full birthdays, contact details, ID, payment or health information.
How long
Player Card share pages and images: deleted on 30 Apr 2027. Referral counts: deleted once rewards are handed out. Voting data and Reach Bonus links and screenshots: deleted 30 days after the event (by 16 Feb 2027). Registration and payment records for as long as necessary (accounting records as required by law); general event records, process logs and raw photo and video files cleared or anonymised within one year after the event. Public event records are kept for showcase purposes.
Your choices
You can ask to see or correct your data, or withdraw consent, by emailing privacy@ (address to be confirmed). You can switch off your Player Card, referral code or Hall listing yourself at any time; it's as easy as switching them on. Withdrawing some consents may mean a student can't continue taking part.
